Renewing your Registration in Second/Third Year
Renewing your registration in Second or Third Year must take place in three steps :
- Step 1: Renew your registration with GS SMRE by validating/modifying your profile on your ADUM profile to enrol in your institution (pre-registration at the GS SMRE)
- Step 2: Meet with your doctoral studies department to validate your training credits.
- Step 3: Once the doctoral school has validated your application, proceed with your administrative registration at your institution (annual registration).

Annual registration is mandatory for each year until you defend your thesis, regardless of the length of your studies
Derogatory Registration Beyond Third Year
If you are currently in the third year of your studies and are unable to defend your thesis before the end of the calendar year, you may be eligible for a derogatory procedure
The application for derogatory registration should include the following additional documents :
- A detailed letter from the thesis supervisor, explaining both the reason for the delay in the thesis defence and the request for a derogatory procedure. The letter should include the planned date of the thesis defence and the planned funding up to that date. It should also be signed by the lab management
- Attach proof of funding
If the thesis defence is to takes place after the first semester of the fourth year of studies, a summary of the third CSI meeting must be attached

French Order of 26 August 2022, amending the Order of 25 May 2016:
"Art. 14—Preparation for a doctorate, within the doctoral school, is generally carried out over three years in full-time equivalent devoted to research. [...] Annual extensions may be granted by derogation made by the head of the institution on the proposal of the thesis supervisor and after consultation with the monitoring committee and the director of the doctoral school upon a reasoned request from the doctoral candidate."
Some Tips for Annual Registration
- You must register EVERY YEAR, until the thesis defence (no interruption allowed)
- The GS SMRE handles the formalities prior to annual registration: An individual examining committee (CSI) meeting must be set up before each registration and the Individual Training Agreement (CIF) must be updated every year after each registration. Don't forget to talk to your DED about validating your training credits. This data is verified by the graduate school
- It is important to double-check the accuracy of the information you enter on ADUM, especially with regards to your identity, such as your surname, first name, date of birth, year and type of secondary level graduation (not mandatory), INE, etc. An error in any of these areas could impact the authorization (LP) for annual registration the following year
- Please be aware that if you are scheduled to defend your thesis soon, it is essential that you complete your registration or renew it before announcing the oral examination on ADUM. This is to avoid any IT conflicts that may arise between your registration and the announcement of your thesis defence
- Registering for a single semester or less is not possible, as registration is valid for the whole academic year. In the event of illness, registration is maintained as it is valid for the entire year (regardless of status/funding). However, the interruption in work can be taken into consideration by the doctoral school
- Please ensure that you complete the entire process (e.g., submitting additional documents), as obtaining the certificate of school attendance is necessary to certify that you are enrolled. This will enable your file to be transferred to the definitive ADUM database, which is necessary for you to access the courses and other resources
